Restaurants and retail spaces can feel different as summer occupancy, cooking, deliveries, sunlight, and open doors change. A warm sales floor or dining room is a useful operating signal, but it does not prove that the system is undersized or that refrigerant is low. The record should show demand clues and equipment response separately.

Use the HVAC services hub for the broad service category. Before a busy period, assign one person to keep the observation log and one person to provide access and approval information.

Map the affected space

List the rooms or zones that feel warm, the time the condition begins, and whether the issue follows occupancy or outdoor heat. Note the location of thermostats, returns, supply registers, kitchen equipment, checkout areas, seating, doors, and windows. Do not use a single wall or hand reading as a system capacity test.

Record whether the whole site is affected or only one zone. A warm front area with a cool back room can point to distribution or controls, while a building-wide change asks a different question. Do not move a thermostat or change a damper to make the record look better.

Record doors, exhaust, and heat sources

Note loading doors, customer doors, patio openings, drive-through windows, delivery periods, kitchen exhaust, makeup-air equipment, ovens, fryers, refrigerators, lighting, and recently added appliances. Write the time each event overlaps with the comfort complaint.

These are load clues, not a repair conclusion. A door that stays open can affect comfort while an AC condition exists at the same time. The technician needs the operating sequence, not a choice between “the door caused it” and “the unit failed.”

Include changes to seating, merchandise, partitions, cooking schedule, or sun exposure. Do not calculate or publish a new capacity from these observations.

Capture controls and airflow

Record each thermostat’s mode, set point, fan setting, schedule, hold, and display message. Note whether the indoor fan starts, whether air moves at the registers, and whether the system runs, cycles, or stays silent. If a controller shows an alarm, copy it exactly without applying a code from another model.

Check accessible filters and visible returns only through normal staff procedures. Note a loaded filter, blocked grille, or weak airflow. Do not open an air handler, adjust hidden dampers, or climb to a rooftop unit without authorization and appropriate protection.

For split systems, note the indoor and outdoor equipment identity. For rooftop equipment, record the unit label and the safe access path. Do not remove panels, handle disconnects, test live voltage, clean coils, or connect refrigerant gauges.

Protect operations and safety

Follow the business’s occupant, product, and equipment procedures when comfort affects food, merchandise, staff, or customers. Keep the log factual. Do not promise that one adjustment will restore the space or that a technician can complete a repair by a particular time.

Stop and escalate for smoke, arcing, burning electrical odor, damaged wiring, water near electrical equipment, violent vibration, or repeated breaker trips. Do not keep resetting power or bypass a safety control.

Build the technician packet

Send the site map, zones, thermostat photos, occupancy and door log, exhaust and heat-source notes, filter and airflow observations, equipment model and serial information, alarm text, sounds, water or ice, prior service records, and access or approval contacts. State when cooling last worked normally.

Use one observation window

Choose a normal operating period and log the same fields at the start, during the complaint, and after the demand changes. Record the zone, thermostat, doors, exhaust, occupancy, indoor airflow, equipment sound, and alarm status. Consistent fields make a later comparison possible without claiming a precise building load.

If a manager changes a door policy, cooking schedule, shade, or room layout, put the change in a separate line with its time. A comfort improvement after the change is useful evidence, but it does not prove that the HVAC system has no condition. If there is no improvement, that is also useful.

For rooftop equipment, keep the roof access and escort details with the packet. For split equipment, identify the indoor and outdoor pair. Do not ask staff to open a unit to inspect coils, electrical parts, refrigerant lines, or controls. The record should make qualified testing easier, not turn employees into equipment inspectors.

The manager can also record the approval path for diagnosis and repair. Keep an operational decision about rooms or hours separate from a technical claim about capacity or restoration.

Make the packet easy to read

Put the site and zone at the top, followed by the thermostat, equipment identity, time of the complaint, operating conditions, and safety notes. Attach a simple floor or zone map if one already exists. A technician should be able to tell which observations came from staff and which came from a prior written report.

If the site has several rooftop or split systems, use one line per unit. Do not combine a unit with a different zone because both were warm at the same time. Note the unit that started, the unit that stayed silent, and the unit that showed an alarm without choosing a cause.

Record who can approve diagnosis and who can approve a written estimate. The packet is complete when it supports safe access and a measured evaluation, not when it predicts a repair result.
