Before the first cold night, a few calm observations can make a heating service request much clearer. The goal is not to prove that a furnace, heat pump, blower, or control has failed. The goal is to check the parts of the system a homeowner can see safely and record the first response to a normal heat call.

Bay Area homes do not all use the same heating equipment or respond to weather in the same way. Avoid invented temperature rules and blanket assumptions. Use the installed equipment’s owner manual for normal controls, and stop when the next step would require a panel, gas adjustment, refrigerant tool, or live electrical test.

1. Check the thermostat mode

Confirm that the thermostat is set to heat, not cool or fan-only. Record the set point, schedule, hold, displayed room temperature, and any warning message. If the thermostat is programmable or connected to an app, note the visible schedule before changing it.

Make one normal call for heat. Listen for the equipment and note if the indoor blower starts, if warm air arrives after a delay, or if nothing happens. Do not move between modes repeatedly or keep lowering the set point. One clean sequence is more useful than a series of resets.

If the screen is blank, use only the normal user-level battery or power instruction. Do not remove the thermostat from the wall or trace wiring.

2. Look at the filter

Find the filter in its normal accessible location and record whether it is visibly loaded. Replace it only with the size and type supported by the equipment instructions. Note the date or event in the service record.

3. Walk the registers and returns

Look at the supply registers and return grilles in the rooms that feel cold. Record a closed register, a blocked return, furniture moved near an opening, or a room-to-room difference. Do not remove grilles or reach into a duct or blower area.

If only one room is affected, say that. If every room has weak airflow, say that too. These are different observations even though both may be described as no heat. Keep interior doors, furniture, and recent remodeling in the history when they changed airflow.

4. Check access and outdoor conditions

Make sure the thermostat and normal equipment area can be reached without moving heavy items. Note boxes, storage, or construction that blocks a panel or service path. Do not create access by pulling a furnace, air handler, or built-in system from its installation.

If the home uses a heat pump, look at the outdoor cabinet from a safe distance. Record visible debris or a change in the surrounding space. Do not scrape frost, pour water on the coil, touch the fan, or remove a grille. If the home uses a furnace, do not open the cabinet or adjust gas controls.

5. Listen once, then write it down

During one normal heat call, note clicking, humming, a blower delay, rattling, grinding, repeated starts, or complete silence. A sound is a clue, not a parts list. The current owner manual may describe a normal delay or cycle, but a repeated new sound should be included in the request.

Do not keep restarting the equipment to reproduce a sound. If a breaker trips, one reset may be reasonable only when the area is dry and no cover needs to be removed. A breaker that trips again is a stop condition, not a test to repeat.

6. Keep safety separate

Stop and keep people away for gas odor, smoke, a burning smell, sparking, exposed wiring, water near power, or a repeated breaker trip. Do not use a flame to check for gas, open an electrical panel, bypass a limit or pressure switch, or adjust a burner or combustion control.

For a heat pump, do not connect gauges or add refrigerant. For either system, do not reach toward a moving fan, hot surface, ignition area, or internal control. Tell the service contact exactly what safety condition you saw.

7. Prepare the service note

Record the model and serial label if it is accessible without opening a cover. Add thermostat mode, set point, filter condition, rooms affected, register and return observations, outdoor response, display messages, sounds, and the last normal heating event. Include a recent power outage, maintenance visit, or change in settings.
